ENTER THE VAULT

Payroll looks simple from the outside: people work, people get paid. Behind the vault door, there are a lot more moving pieces.

Employee data, time worked, earnings, deductions, taxes, benefit elections, effective dates, payroll schedules, retroactive changes, and last-minute updates all eventually meet in one place.

Good payroll is less about pushing a button and more about making sure everything feeding that button is accurate before the money moves.

LEVEL 02

THE PAYROLL MAP

Every payroll run travels through a few important rooms.

01

TIME & EARNINGS

Regular hours, overtime, leave, bonuses, commissions, shift differentials, and other earnings begin shaping gross pay.

02
$

GROSS PAY

Gross pay is what an employee earns before taxes, deductions, garnishments, benefits, and other payroll adjustments are applied.

03
%

TAXES & DEDUCTIONS

Federal, state, and local taxes meet benefit deductions, retirement contributions, garnishments, and other withholding.

04

PROCESSING

Payroll inputs are reviewed, calculations are processed, exceptions are investigated, and final totals are prepared for payment.

05

RECONCILIATION

Totals, employee-level results, funding, deductions, taxes, and unusual changes are reviewed before payroll is considered complete.

06
📜

REPORTING

Payroll data eventually becomes financial reporting, employee records, tax information, audits, and operational insight.

LEVEL 03

COMMON TRAPS

Most payroll problems don't magically appear on payroll day. They start somewhere upstream.

01 Missing or incorrect hours
02 Incorrect employee setup
03 Bad effective dates
04 Late payroll changes
05 Deduction problems
06 Retroactive adjustments
07 Tax setup issues
08 Unreviewed exceptions
LEVEL 04

THE GOLDEN RULES

1

Accuracy starts upstream.

Payroll can only be as accurate as the employee, time, earnings, deduction, and tax information feeding it.

2

Effective dates matter.

The right information with the wrong effective date can still create the wrong paycheck.

3

Exceptions deserve attention.

Large changes, unusual deductions, missing pay, and unexpected results should be investigated rather than assumed correct.

4

Document the trail.

Payroll touches money, employee trust, compliance, and financial records. Good documentation matters.

LEVEL 05

FROM MY PAYROLL QUEST LOG

I didn't learn payroll from a textbook alone. Much of what I know came from working where HR data, systems, payroll, benefits, compliance, and real employee problems meet.

HRIS & PAYROLL SYSTEMS

I've worked across HR and payroll environments involving ADP, Workday, BambooHR, Oracle/SAP-related systems, employee data, payroll workflows, and system integrations.

TIME, PAY & EMPLOYEE DATA

My work has included payroll setup, time and leave processes, employee record validation, deductions, benefits integration, payroll troubleshooting, and multi-state HR operations.

VALIDATION & RECONCILIATION

I've supported audits, payroll testing, data validation, documentation, process mapping, and the detective work required when something upstream doesn't produce the expected result.

$

COMPENSATION CONNECTIONS

I've also worked with salary structures, job architecture, compensation reviews, effective dates, and pay decisions — all of which eventually have to make their way accurately into payroll.

That's why you'll see one theme repeated throughout FoundHerHR: payroll isn't an island. Good payroll depends on good data, good processes, good systems, and people who understand how everything connects.

QUEST COMPLETE

LOOT ACQUIRED

Payroll is the final destination for information coming from across the employee lifecycle. When the data entering payroll is clean, timely, and understood, payday gets a whole lot less dramatic.
